Automating repetitive manual data entry for each search
Eldor-Wal relied on a large team of specialized clerks, who needed to be trained on how to navigate each legal jurisdiction's unique web portal and submission rules. That operational knowledge was held only by experienced staff who needed to actively train and monitor clerks due to the repetitive and error-prone process, making it costly and hard to scale.
During the discovery sprint we identified each type of search and third party service being used to complete searches. We created a list of priorities that balanced efficiency gains against cost and length of time to automate.
Working closely with senior clerks, we investigated different methods of automating each search type and selected technology that would be the most adaptable and resilient to service platform changes.
As part of our assessment, we also reviewed the search guidance provided by the government, and uncovered cases of conflicting directions, which enabled Eldor-Wal to clarify the correct processes.

We built a batch processing system which allows clerks to input search details once, then select which jursidictions to search. The automated system then formats and submits search requests to each of those services automatically.
Tandem designed and developed an in-house system that standardized and automated the search process across third-party services, with efficient order management built in.
At its core, a back-end job-queuing system receives each request, routes it to the appropriate third-party service, processes it, and returns the verified results.
On top of this, we built bulk-processing functionality so clerks can file large orders in a single submission - dramatically improving their ability to handle high volumes without sacrificing accuracy.
Clerks no longer enter the same details repeatedly - they submit once and let the system do the rest.
Results are automatically pulled from emails and made accessible to any clerk on the team.
New clerks no longer need to learn a dozen different external systems before becoming productive.
Eldor-Wal's standards and best practices for each search type are now applied automatically and consistently.
Administrators can easily look up past searches and review problematic or incomplete orders at a glance.
With clear instructions and documentation, clerks are able to get trained faster and consistently.
